How Uummannaq Seasafaris uses information about purchasers, passengers and overnight guests.

Information we use and why

Purchaser and booking-contact names, email addresses and telephone numbers let us manage the booking, deliver confirmations and reach the group about changes. A booking contact may be different from the people travelling or staying.

Passenger and overnight-guest details include first and last names, date of birth, nationality and, where requested, country of residence. Names identify the people booked; dates of birth support age-related booking categories and operational passenger information. Nationality supports passenger registration and manifests where applicable. Residence is separate from nationality and determines residence-based mandatory charges, including the overnight tourist fee for adults and children.

We keep the booked services, dates, guest counts, selected options, agreed prices and fees, acceptance of purchase terms, payment references, receipts and booking history to fulfil and document the booking. Service correspondence and operational notes support assistance and handling changes or disputes. Technical access and security records help protect bookings and prevent misuse. Please do not put payment-card details or unnecessary sensitive information in messages or notes.

Reasons for processing

We process necessary booking information to take steps requested before a purchase and fulfil the service contract. Applicable registration, accounting and tax duties can require further processing or disclosure. Booking security, service administration and resolving claims also support necessary processing, subject to the protections in the personal-data rules applicable in Greenland.

This notice is information about processing, not a request for consent. Purchase terms separately govern payment, cancellation, refunds and services. Greenland has its own applicable version of the Personal Data Act (persondataloven for Grønland); a traveller’s EU nationality does not itself make GDPR applicable.

Booking messages and other travellers

We send transactional messages such as confirmations, access links, tickets or vouchers, payment and refund receipts, and service-change or cancellation notices. These booking messages are not marketing messages.

When a purchaser or agent enters information about other travellers, we receive those details from that person. Please give this notice to every traveller, or to the parent or guardian where appropriate, and ensure the information is accurate. Travellers can contact us directly about their own information.

Who may receive information

Authorized Uummannaq Seasafaris staff and the agency managing a booking can use the information needed for their work. The Ikunga booking platform and configured hosting, storage, email and payment service providers support operation of the booking system. Crew and service partners receive the information needed to deliver the booked service. Authorities may receive information where disclosure is legally required.

Providers and their roles depend on the services enabled for the booking system. Contact us for the applicable provider and processing-location information. This notice does not assume a particular hosting country or international-transfer arrangement.

When hosted card payment is enabled, card details are entered with the payment provider and are not stored by Ikunga. The booking system keeps payment references, amounts and statuses needed for reconciliation and refunds. A simulated checkout does not collect or charge a real card.

How long information is kept

Retention depends on the record: booking and traveller information is needed for delivery and follow-up; financial records and agreed price or rule snapshots support accounting and tax obligations; history and security records support accountability, dispute handling and protection of the system. Applicable legal duties, unresolved claims and backup lifecycles affect when a record can be deleted or anonymized.

Cancelling a booking or an access link expiring does not automatically delete the booking record. The system does not currently apply one fixed automatic deletion period to all records. Contact us about retention of your particular information or a deletion request; records still needed for a lawful purpose may have to be retained.

Access, correction and questions

We may need to verify your identity before disclosing or changing information. We assess requests under the rules applicable in Greenland, including any exceptions needed to preserve legally required records.
